UCaaS for teams

Every teammate contributes. The work moves forward.

The enquiry may start with you and need someone else’s expertise. Bring the conversation, the right colleagues and the next action into one UCaaS workspace—so everyone knows where to continue.

Your working view

Start with the requests that need your part.

Use the inbox’s ownership and channel filters to find your conversations. Read what arrived, what was already answered and which detail needs attention before you reply.

Mine brings assigned conversations into focus. Unassigned helps authorised teammates find work that still needs an owner. Role and channel access shape the view.

The channel your team handles

Different contact routes. A familiar place to work.

Work from the channels assigned to your team instead of rebuilding the request in separate inboxes. The channel still has its own sending rules, media tools and calling availability.

Shared handling

Bring in expertise, with a clear reply owner.

Assign the conversation to a teammate or team. Where manual multi-assignment is enabled, several authorised colleagues can see and reply within the same conversation.

Agree who clarifies the detail and who updates the requester. A shared conversation benefits from an explicit division of work.

TM-248 · Participating colleagues

Salma · Handles the external reply

Owns the next update to the contact.

Yousef · Confirms the technical detail

Adds the confirmed information to the request.

Agreed next action

Salma replies after Yousef confirms the requirement.

Internal coordination

Ask the person who can resolve the detail.

Use an internal note and an @mention within the relevant conversation or ticket. Give your colleague a specific question, and keep that discussion separate from the message sent to the requester.

Mention notifications draw attention to the record. Set responsibility through assignment when the teammate should take over the work.

A colleague’s voice

Talk through the point that writing leaves open.

Find the colleague by name or extension and use internal calling when a quick discussion helps. During a business call, use the available hold and transfer tools to reach the right specialist.

Record the outcome in the related conversation or ticket yourself. The next teammate can then continue from the agreed detail.

Service follow-up

Your configured fields capture the details your team uses. Supported board views organise accounts, contacts and tickets around meaningful stages, with changes made within your permissions.

The work after the reply

Give the service request somewhere to continue.

Create or update the related ticket with its priority, status, assignee and useful description. Keep the requested action visible when the conversation alone cannot finish the work.

Request clarified

The second branch needs the same service detail.

Confirmation pending

Yousef checks the responsible service reference.

Requester update

Salma continues the reply after confirmation.

Service target

Enabled SLA policies put response and resolution targets beside the service work. Pause and escalation conditions follow the agreed policy.

Teammate to teammate

Hand over the unfinished part, with a usable starting point.

Before another department or shift takes over, write what is confirmed, what still needs an answer and who should make the next contact. Link that brief to the actual conversation or ticket.

Business hours help organise service availability. A useful handover still needs recorded context and an assigned owner.

A better prepared reply

Prepared wording, with your judgement in the final reply.

Choose a quick reply for a recurring question, then adapt it to the current request. Enabled Agent Assist can also suggest wording from the conversation history. Check the facts and intended next step before sending.

Reusable wording and AI suggestions serve different purposes. The teammate handling the request decides what to say.

The human continuation

When the bot hands over, pick up the actual question.

Conversational AI can answer from approved knowledge and use its configured handoff route when a person is needed. Review the available bot exchange and the outstanding question before continuing with the requester.

Voice automation, summaries and analysis are additional tools with their own activation and language support. Confirm the tools your team will actually use.

An agreed next contact

Put the follow-up where you can find it again.

Schedule the agreed callback or appointment with its person, time and purpose. Keep the calendar entry connected to the relevant record, and update it when the arrangement changes.

Connected Google and Outlook calendars follow the enabled integration. A calendar entry records an arrangement; a confirmed service time still comes from the responsible team.

Less repeated administration

Let a recorded change carry the routine step.

Configured workflows can update supported fields or labels and send an enabled message or email when their conditions match. The team continues from the resulting record instead of re-entering the same administration.

Recorded event

The contact’s branch field was updated.

Configured condition

The contact belongs to the selected service group.

Supported action

Send the approved acknowledgement through the enabled route.

Your administrator configures the available triggers and actions. Assignment, escalation and notification depend on the workflow tools activated for the account.

Replies after a campaign

Recognise the message that brought the person to your team.

When an approved campaign goes out, the receiving team needs the message, intended audience and agreed answer. Keep the original purpose in view as replies arrive through supported channels.

WhatsApp uses channel-approved templates. SMS is outbound with available delivery status; receiving SMS replies requires a separately supported service. Voice campaigns follow their calling setup.

Approved service notice

“Who should we contact about our open request?”

Beyond the desk

The next useful update can happen where the work happens.

Use the mobile app’s supported conversations, contacts, calls and tickets to continue within your access. A working connection and the released app tools determine what you can do away from the desk.

Business integrations bring supported references and events into UCaaS. Check the confirmed source information before telling a colleague or requester that an operational step is complete.

Learn from the completed work

Bring one interaction to the discussion, with its evidence.

Review authorised call recordings, the conversation and available service feedback. Use relevant reporting filters to understand your work in context and agree a practical improvement with the team.

Team membership, record visibility, export rights and calling entitlement are separate settings. Your access is configured around the work you handle.

Before working together

Useful answers for the people doing the work.

Clarify shared handling, visibility and available tools before the next busy day.

Is this only for customer-service teams?

No. Sales, coordination, technical support and other teams can use their configured records and channels. Their terminology, fields and responsibilities should match the work they handle.

Can several teammates participate in one conversation?

When multi-assignment is enabled, authorised teammates can share the conversation and contribute replies. Agree who handles the next reply and record each colleague’s contribution in the request.

Does a mention transfer ownership?

A mention asks for attention to a recorded detail. Use assignment or an enabled workflow action to change responsibility.

Will the requester see our internal discussion?

Internal notes are for authorised staff within the related record. Check the note or reply mode before writing; the requester-facing reply is a separate message.

Can every team member see all records?

No. Record visibility, channel assignments and module actions depend on configured roles. Team membership alone does not grant unrestricted access or calling entitlement.

What can my team follow from the mobile app?

Stay connected to conversations, customer records and service tickets from your phone. Live calls and messages use your internet connection.

What should we bring to the setup discussion?

Bring a recurring request, the colleagues involved, the channels used and the information each person needs. We can map the supported tools and access around that flow.

Start with your shared work

Bring the request that usually passes between colleagues.

We’ll map the contributions, access and follow-up around your team’s actual work, then identify the UCaaS tools that support it.
